Privacy Policy
Version 2026.1. Effective 24 October 2026. These Terms apply to journeys booked on or after that date; earlier bookings stay on the version in force when they were confirmed (see section 20).
These Terms form a binding agreement between you and Enter Loka ("we", "us"). Please read them in full before you book. By booking, you accept them.
1. Booking and Payments
1.1 Deposit and balance
A deposit secures your place. The amount is shown on your journey page and invoice. Deposits are non-refundable and non-transferable, except within the 24-hour cooling-off period in section 10. From the moment you book, we commit funds to lodges, guides and local partners, often months ahead, and hold a place that we turn away others for.
The balance is due on the date on your invoice, normally 90 days before departure. Bookings made inside that window are paid in full at booking.
1.2 Payment methods
We accept Visa and Mastercard in USD. You may ask to pay by bank transfer or Wise instead; any sending or intermediary bank charges are yours. Where we offer a discount for bank transfer, it is shown on the invoice.
1.3 Late payment
We will remind you if a payment is overdue. If the balance is still unpaid after our reminders and we cannot reach you, we may treat the booking as cancelled by you, and section 2.1 applies.
1.4 Payment disputes
If you have a concern about a charge or your journey, contact us in writing first (section 16) and give us 14 days to respond before opening a dispute with your card issuer. We will contest disputes over amounts properly owed under these Terms and may recover the costs of doing so. This does not affect your right to dispute a charge you did not authorise.
1.5 Prices and government fees
Your price is fixed once your booking is confirmed. It does not change if other departures or guests are priced differently.
Permits, park and conservation fees, and taxes are set by authorities, not by us. Where one is listed separately on the journey page, you pay it at cost. If such a fee rises after you book, we may pass the increase on, with written notice and the basis for it; payment is due within 14 days.
If the total increase exceeds 10% of your journey price, you may cancel instead for a full refund, including your deposit and with no admin fee. We will not pass on increases within 30 days of departure, and we pass on decreases the same way.
Add-ons and extensions are covered by these Terms, including section 2.
2. Cancellations and Refunds
2.1 If you cancel
Tell us in writing. The deposit is non-refundable in all cases. Any refund is calculated on the balance only, based on when we receive your notice:
Before the balance is paid: nothing further is owed and the deposit is forfeited.
More than 90 days before departure: 100% of the balance paid is refunded.
60 to 90 days before departure: 50% of the balance paid is refunded.
Less than 60 days before departure: no refund.
Refunds under this section are subject to an admin fee covering card, banking and currency costs. The fee does not apply when we cancel (section 2.2).
2.2 If we cancel
If we cancel a journey for reasons other than those in 2.3, we refund everything you paid us in full, with no admin fee. Where a journey needs a minimum group size, that minimum is on the journey page; if it isn't met we may cancel, offer new dates, or offer to run it on revised terms.
We are not responsible for costs outside our services, such as flights, visas, vaccinations, insurance or time off work. Our liability on a cancellation is limited to what you paid us.
2.3 Events beyond our control
If a journey is disrupted or cancelled by events beyond our reasonable control (for example natural disasters, pandemics, government action, unrest, or closures by authorities), we are not liable for failing to perform. We will tell you as soon as we can and offer, at our choice, new dates of equal value, a credit, or a refund of what you paid us less costs we had already irrecoverably committed for you. Your travel insurance is the route for recovering other losses.
2.4 Unused services and leaving early
No refund is due for any part of a journey you miss or choose not to join, including if you arrive late or leave early. From the point you leave, your onward travel and accommodation are your responsibility.
2.5 Refund timing
We process refunds within 30 days of confirming the cancellation.
3. Travel Insurance
Travel medical insurance is a condition of booking. Your policy must cover emergency medical treatment and evacuation, plus the activities on your journey page (for example horse riding, trekking, altitude or water activities).
We also strongly recommend cancellation cover, and we're happy to point you to providers we trust.
Please carry a copy of your policy (printed or saved offline) and share it with your guide on arrival. In a remote place, those details are what let us arrange help quickly. Keeping your cover active and adequate is your responsibility, and emergency costs are yours.
4. Minimum Age
Guests must be at least 18. We may accept younger guests case by case if a parent or legal guardian travels with them throughout and completes all required paperwork.
5. Health, Fitness and Dietary Needs
Each journey page describes its physical demands. You must be fit enough to take part, and tell us before booking about any medical conditions, mobility limits, allergies, medications or dietary needs that could matter.
Some journeys include breathwork, ceremony, fasting, cold exposure or other practices that may not suit everyone, including people who are pregnant or have certain heart, respiratory or mental-health conditions. Taking part is always your choice, and you may step back from any activity at any time.
If you don't disclose something relevant and it creates a safety concern, we may decline your participation without refund. Guides may exclude anyone from an activity on safety grounds.
Many meals are prepared by local hosts in remote places. We pass on every requirement and make a real effort, but we cannot guarantee that specific dietary needs can be met.
6. Risk, Local Partners and Liability
6.1 Accepting risk
Our journeys go to remote places and include activities with real risk: riding, trekking, uneven terrain, water, altitude, wildlife, road and boat transfers, food prepared far from cities, ceremonial and contemplative practices, and limited access to medical care. By booking you accept these risks and release Enter Loka and its team from liability for injury, illness or loss during the journey, except where caused by our gross negligence or wilful misconduct, which the law does not allow us to exclude.
You must also sign our separate Waiver of Liability before departure. If you don't, we may decline your participation and section 2.1 applies.
6.2 Local partners
Enter Loka designs and coordinates journeys. Ground operators, guides, drivers, horse handlers, hosts, practitioners and lodges are independent partners we choose with care. We are not liable for their independent acts or omissions, except where the law says otherwise. Where a partner has its own terms or waiver, those also apply to their part of the journey.
6.3 Limit of liability
To the extent the law allows, our total liability for any claim connected to a journey is capped at what you paid us for it.
6.4 Remedies for a single element
If one part of a journey isn't delivered, or differs materially from the journey page, your remedy is limited to the value of that part. It doesn't entitle you to a refund for parts delivered as described. Any substitute or upgrade we provide counts toward the remedy. This doesn't limit your statutory consumer rights.
7. Changes to Journeys and Bookings
7.1 Changes you request
We'll try to accommodate changes, subject to availability and any extra cost.
7.2 Changes we make
We may adjust itineraries in good faith for weather, safety, seasonal conditions, regulations or logistics, including changes of guides or staff. Activities, ceremonies and cultural visits on a journey page are indicative and may shift in order, timing or content. These changes are not grounds for a refund.
7.3 Accommodation
Accommodation is as described on the journey page, and rooms are shared unless stated otherwise. Room layouts and bathrooms may differ from photos and between rooms. We allocate rooms and roommates at our discretion, considering group make-up and needs you've told us about.
Single supplements are offered where shown on the journey page. If we can't provide a single room you paid for, for reasons outside our control, we refund that supplement in full. If a lodge must change, we provide a suitable alternative; this isn't grounds for a refund. If accommodation matters a lot to you, ask before booking and we'll tell you honestly what to expect.
7.4 Transferring your place
Bookings are personal. We may agree, at our discretion, to transfer a place to someone else if they meet the journey's requirements, accept these Terms and the waiver, and cover any costs the change creates.
8. Conduct and Guide Authority
Please follow the instructions of guides and partners, and respect local laws, customs, sacred sites, wildlife and fellow guests. Guides may change, limit or stop any activity for safety, cultural, environmental or regulatory reasons, and their decisions in the field are final.
If someone's behaviour endangers people, breaks the law or permit conditions, disrespects hosts or sacred practices, harms wildlife, or seriously disrupts the group, we may remove them from an activity or the journey. We do this reasonably and usually only after raising it first. No refund is due, and onward costs are theirs.
9. Nature, Wildlife and Ceremony
The natural and living world doesn't run to schedule. Wildlife sightings, weather, aurora, eagle hunts, festivals and the presence of particular practitioners are never guaranteed. Ceremonial and inner experiences are personal and can't be promised either. No refund or compensation is due if any of these don't happen as hoped.
10. Cooling-Off Period
You may cancel within 24 hours of booking for a full refund, deposit included, less the admin fee, as long as departure is more than 60 days away. This is the only case in which a deposit is refunded on a guest cancellation. It doesn't apply to bookings made within 60 days of departure or where we've already committed custom arrangements for you.
11. Photography and Media
Our team and content creators photograph and film journeys. By joining, you allow Enter Loka to use images and footage you appear in for editorial, promotional and social media purposes. If you'd rather not appear, tell us in writing before departure. We never publish images from private ceremonies without the consent of those present.
12. Laws, Permits and Travel Documents
Activities must comply with local laws and permit conditions, which are set by authorities and can change at short notice, even mid-journey. Changes driven by regulation are outside our control and aren't grounds for a refund, though we will always work to deliver as much of the journey as the rules allow.
You are responsible for a valid passport and any visas, vaccinations or documents needed for every country on your route, and for airline requirements. If you are refused boarding, entry or participation for lack of documents, it counts as a cancellation by you under section 2.1.
13. Respect for Wildlife and Communities
Interact with animals calmly and without chasing, crowding or feeding them unless guided. Treat host communities, homes and ceremonies as a guest. Guides may stop an activity immediately if these standards aren't met, without refund.
14. Your Equipment
You are responsible for making sure drones, cameras and other equipment you bring are legal where you use them. Our guidance on gear is informal, not legal advice. We may restrict any equipment that is unsafe, non-compliant, or intrusive to wildlife or ceremony.
15. Your Personal Information
We handle your data in line with applicable data protection laws and never sell it. We share only what's needed to run your journey and our business: with ground partners, guides and lodges, and with our website, payment, invoicing and email providers. We use it to manage your booking and, if you opt in, to send occasional news about future journeys. You can unsubscribe, or ask us to access, correct or delete your data, at any time.
16. Concerns and Disputes
We would much rather fix something during the journey than hear about it afterwards.
Contacting us in writing: email hi@enterloka.com, reply to any booking email, or use the contact form on our website. Any of these counts as written notice.
During the journey: raise any issue with your guide straight away.
